AI support for SMEs: automation, agents and training

You hear about AI everywhere, but you do not know where to start? At Digi4you, AI support for business starts from your repetitive tasks, not from a trendy tool. We spot what eats your time, automate what fits, then train your team.

We are a web agency in Walloon Brabant, in Braine-le-Château. The first call is free and we reply within 4 working hours.

This page is for Belgian SME managers and self-employed people, with no technical skills required. We are based in Braine-le-Château, in Walloon Brabant: we meet at your place or ours.

AI prepares, a human checks.

Step 1

Where to start: an inventory of your tasks

Before talking tools, we run a starting workshop with you. Together we list your tasks: who does them, how often, and what makes them tedious. Four telltale signs:

  • They come back every weekalmost identically.
  • They copy informationfrom one place to another.
  • You always write roughly the same text: reply, quote, reminder.
  • They stop when the person is away.

Then we sort them: what we automate right away, what needs human control, what we leave as it is. You leave with a short list of use cases, in the order to tackle them.

Automation

AI automation for business: concrete examples

AI automation is not about replacing people. It removes the mechanical steps from a day. Concrete cases, no magic:

  • Sorting emails and requests

Sort by topic, spot what is urgent, route to the right person.

In practice: each message arrives already sorted, with urgent ones on top.

  • Meeting minutes

A structured summary with decisions and actions, which you read before sending.

In practice: AI summarises the meeting, you read it before sending.

  • Quotes and standard replies

A first draft from your templates. You approve.

In practice: AI fills in your quote template, you correct and approve.

  • Data extraction

Pull the useful fields from an invoice, a purchase order or a form.

In practice: amount, date and supplier are read for you, you check before saving.

  • Reminders

Prepare quote or payment reminders to send.

In practice: today's reminder list is ready, you decide which ones go out.

  • Reporting

Gather scattered figures into one readable table.

In practice: one up-to-date table instead of three files to cross-check by hand.

By profession: what is possible

  • Practice or independent professional

Note-taking from your exchanges, standard replies to recurring questions, letters prepared for you to proofread.

  • Shop and craftsperson

First drafts of quotes from your templates, quote and payment reminders prepared for you.

  • SME using Odoo

Automatic data entry from received documents, sales pipeline summaries before your weekly meeting.

Agents

AI agents: when AI chains actions together

An AI agent does not just answer: it chains several actions in your tools. For example, reading an incoming request, finding the customer in your database, preparing a reply and creating a follow-up task. A human approves the steps that matter.

An agent has limits worth knowing:

  • It can be wrong, even with confidence.
  • It is only reliable within a defined scope, with clear rules.
  • It must be possible to stop, correct and control it.
  • It does not replace the decision, especially when a customer or an employee is concerned.

We start small: one agent, one task.

Training

Training your team

The best tool is useless if nobody knows how to use it. We train your team on its own tasks and its own documents, not on theoretical examples. Everyone leaves with something they can use the next day.

And simple rules, easy to remember:

  • Read before sending: you are always the one who signs.
  • Say when AI was used, internally and with customers.
  • Know what never to enter: see the next section.

Data

Data and GDPR: the ground rules

Using AI does not exempt you from GDPR. We set the rules with you from the start. What we never put in a tool without a clear framework:

  • Passwords and access codes.
  • Health data or other sensitive data of your customers, patients or employees.
  • Confidential documents (contracts, bank details) in a tool whose terms you do not control.
  • Identifiable personal data when an anonymised version is enough.

To choose tools, we read their terms of use: where the data goes, and whether it is used to train the model. Your data stays yours. We do not replace a lawyer, but we help you set a clear framework.

How it works

How an AI engagement works

  1. The workshop: an inventory of your tasks

Together we list what eats your time and sort the use cases.

  2. One first task, a suitable tool

We pick a single task to start with, and the tool that suits your data.

  3. Set-up and testing

We set it up, test on your real cases, and a human approves each result before it is used.

  4. Training, review, next task

We train the team, review with you, then move on to the next task on the list.
